Technical Services Clerical Asst
MAIN PURPOSE OF JOB:
Under the guidance of the TSC Administrator, to undertake the support and delivery of duties within the function which contribute to the provision of an excellent service, whilst ensuring the effective use of resources. To support department managers in the delivery of exceptional services to our community and key stakeholders.
GENERAL DUTIES
- To promote the Service Vision, ‘Creating the Safest Community’.
- To work effectively and efficiently to support line management in the delivery of the department’s aims and objectives.
- To maintain appropriate and robust information systems within the department.
- To maintain positive and effective liaison links with organisations and partners as appropriate.
- To support the preparation and production of a variety of quality information for inclusion in management and departmental reports.
- To ensure compliance with the Data Protection Act and to ensure data security is maintained.
- To ensure relevant knowledge is up to date.
- To identify and recommend areas of potential improvement.
- To represent the function at internal and external meetings and events and take minutes when required.
- To support the activities of the function and diary management for line management where required.
- To support colleagues with their work as required.
- To attend internal and external training courses as necessary.
- To undertake any other duties as appropriate to the role
ROLE SPECIFIC DUTIES
- Ensure that all policies and procedures within the function are adhered to and in accordance with regulations, lean thinking and value for money principles.
- Provide a wide range of clerical duties e.g. maintaining electronic and paper based office systems, photocopying, binding, laminating, printing, compilation of information packs, distribution and retrieval of items etc.
- Provide cover on reception / switchboard as required receiving incoming calls and visitors in a courteous, efficient and effective manner.
- Responsible for the TSC post system as required including receiving and logging incoming mail, collecting outgoing mail and sorting / preparing for distribution.
- Provide, support and cover the workload of the other Clerical Assistant when required, carrying out relevant duties to ensure the services of the function are delivered efficiently.
- Utilise asset/fleet management and appropriate IT systems to effectively manage data and information to produce a variety of reports and documentation, undertaking appropriate quality checks.
- Undertake the updating, filing and retention of all documents and records including maintenance of noticeboards related to the Technical Services Centre functions.
- Assist with room bookings ensuring rooms are set out accordingly with the necessary equipment and carrying out routine checks as required.
- Undertake the processing of insurance claims, fixed penalty notices, road fund licences or any other form or return in relation to the Technical Service Centre functions.
- Attend meetings, taking accurate notes, producing minutes and following up action points as required.
- Assist with the management of stationary supplies and stock including the monitoring of usage for the Technical Services Centre functions.
- Undertake duties in relation to the Financial Management System (SAP) including procurement, stock and the administration and monitoring of departmental budgets.
- Assist with the management of petty cash or any other cash systems including payphones at the Technical Services Centre.
This is a full-time role, requiring 37 hours per week, initially offered as a 6-month (FTC)
